Submissions

 

KYAAG is always in need of volunteers and donations. Most of us have very busy lives and very little time to volunteer.  For that reason here are a few ways in which you can help with this project:

 

  • Donate any records that you may already have.

  • Visit your local Courthouse and use your digital camera to photo or photocopy the Colored Marriage Records or other available AA records.

  • Make a listing of as many AA schools that you can identify in the telephone book.

  • Next trip to the genealogy dept. of the library, copy a few pages from the directories that show AA’s.

  • Make a listing of the local AA cemeteries.

If transcriptions are too time consuming, contact the KYAAG staff and we will arrange to have your records transcribed.

  • Data must be African American related – records that include other races that would be more trouble to separate than to include can be submitted as long as African Americans are included in the data.

  • No copyrighted material unless written permission is granted from it's creator and is included – with public records (births, deaths, government records) the format in which they appear can be copyrighted. The data itself can not.  If submissions are made they must not be in the creator’s format unless permission from the creator is in written form and accompanies the data.

  • Publishers and authors can submit their own compiled data.

  • The submitted records may be submitted as partial listings.  If they are partial listings, please state that they are.

  • If your records are for a certain county please state within the document what county they relate to.

  • All submissions should have a submitter’s name if possible.

  • When submitting data if a category has not been created for the data that you are submitting, it will be.  If the data being submitted is general information regarding African Americans in Kentucky it will be placed as such. If your data pertains to a particular county, the data will be placed on that county site.

  • If you have suggestions, please feel free to submit them.  This is a work in progress and we are always willing to listen.

  • When submitting your records, they may be submitted in the format that you have them. The preferred formats to submit them in are Word, Excel, jpg and pdf.  The transcribed format is of your choosing.  If for any reason we feel there is a need to change your transcribed format, you will be notified in advance so that you will be aware of any changes made to your transcription.
